4. GUIDING PRINCIPLES

4.1 Children Come First

The best interests, safety and wellbeing of children and young people must be the primary consideration in decisions affecting them.

4.2 Children Have a Right to Be Heard

Children and young people must be encouraged and supported to:

  • express their views;
  • participate in decisions affecting them;
  • raise concerns;
  • make complaints;
  • ask questions; and
  • say no when they feel uncomfortable or unsafe.

Their views must be taken seriously and considered in a manner appropriate to their age and development.

4.3 Safety Is Everyone's Responsibility

Every person working for or representing Make AI Movies is responsible for contributing to a child safe environment.

Child safety is not solely the responsibility of management or designated child safety personnel.

4.4 Prevention Is Better Than Response

Make AI Movies will take reasonable steps to identify and reduce risks before harm occurs.

Child safety considerations will be incorporated into:

  • program planning;
  • venue selection;
  • staff engagement;
  • technology selection;
  • activity design;
  • filming;
  • communications;
  • risk assessments;
  • events; and
  • organisational decision-making.

5. CULTURAL SAFETY AND INCLUSION

Make AI Movies is committed to ensuring that every child feels welcomed, respected, included and safe.

We recognise that some children may experience additional barriers to safety, participation or reporting concerns.

Workers must actively promote the inclusion and safety of:

  • Aboriginal and Torres Strait Islander children;
  • children with disability;
  • children from culturally and linguistically diverse backgrounds;
  • children experiencing social or economic disadvantage;
  • children who may have experienced trauma; and
  • children who may otherwise be vulnerable or marginalised.

Make AI Movies will take reasonable steps to ensure that Aboriginal and Torres Strait Islander children are culturally safe and that their cultures, identities and communities are respected.

Discrimination, racism, harassment and exclusion are not acceptable.

6. CHILD PARTICIPATION AND EMPOWERMENT

Make AI Movies recognises children and young people as active participants in their own safety and wellbeing.

We will provide children with age-appropriate information about:

  • expected behaviour;
  • their right to feel safe;
  • who they can speak to if they are concerned;
  • how to make a complaint;
  • online safety;
  • privacy;
  • appropriate use of AI and digital technology.

Children will be encouraged to:

  • ask questions;
  • express concerns;
  • identify unsafe behaviour;
  • seek help;
  • support one another respectfully.

No child will be punished or disadvantaged for raising a genuine concern.

7. STAFF AND CONTRACTOR SUITABILITY

Make AI Movies will take reasonable steps to ensure that people engaged to work with children are suitable for their roles.

Depending on the role and legal requirements, this may include:

  • appropriate recruitment processes;
  • identity verification;
  • referee checks;
  • relevant qualifications or experience;
  • working with children screening requirements;
  • induction;
  • child safety training;
  • acknowledgement of the Make AI Movies Code of Conduct;
  • ongoing supervision.

All Workers must immediately notify Make AI Movies if circumstances arise that may affect their suitability to work with children.

8. CODE OF CONDUCT AND PROFESSIONAL BOUNDARIES

All Workers must comply with the Make AI Movies Staff and Contractor Code of Conduct.

Workers must:

  • treat children respectfully;
  • maintain professional boundaries;
  • avoid unnecessary one-on-one situations;
  • communicate appropriately;
  • protect children's privacy;

  • exploit their position of authority;
  • communicate secretly with children;
  • humiliate, intimidate or threaten children;
  • use inappropriate physical contact;
  • expose children to inappropriate content;
  • encourage children to keep safety concerns secret.

9. SAFE AI AND DIGITAL TECHNOLOGY PRACTICES

Because Make AI Movies uses artificial intelligence and digital creative technologies, additional safeguards apply.

Before introducing an AI or digital platform into a children's program, Make AI Movies will consider:

  • the age appropriateness of the platform;
  • privacy and data practices;
  • whether personal information may be collected;
  • whether children's images, voices or likenesses may be uploaded;
  • the risk of inappropriate or harmful content;
  • moderation and supervision requirements;
  • parental or organisational permissions;
  • accessibility and inclusion.

Workers must take reasonable steps to prevent children from:

  • entering unnecessary personal information into AI systems;

11. PHOTOGRAPHY, FILMING AND RECORDING

Make AI Movies may photograph, film or record activities for educational, creative, promotional or archival purposes.

All recording must:

  • be  appropriately authorised;

Communication with children must be professional, appropriate and transparent.

Where possible, communication should occur through approved organisational channels.

Workers must not:

  • privately communicate with children for personal purposes;
  • send inappropriate content;
  • use secretive or disappearing-message communication to interact with children;
  • ask children to conceal communications from parents, carers or Make AI Movies;
  • communicate in a flirtatious, sexualised or otherwise inappropriate manner.

Make AI Movies will identify, assess and manage risks to children and young people.

Risk management will be undertaken:

  • before new programs commence;
  • before new technologies are introduced;
  • before excursions or location filming;
  • before major events;
  • when concerns or incidents arise;
  • when significant changes occur;
  • periodically as part of organisational review.

Risk assessments will consider:

  • physical safety;
  • emotional wellbeing;
  • supervision;
  • online safety;
  • AI technology;
  • privacy;
  • photography and filming;
  • transport;
  • venues;
  • worker conduct;
  • accessibility;
  • cultural safety.

14. RESPONDING TO CONCERNS

Make AI Movies will take all child safety concerns seriously.

Workers who receive or become aware of a concern must:

  • respond calmly;
  • ensure immediate safety;
  • listen respectfully;
  • avoid investigating the matter themselves;
  • avoid making promises they cannot keep;
  • record relevant information;
  • report the concern promptly through Make AI Movies procedures.

Children and young people will be supported appropriately throughout any response.

15. COMPLAINTS

Children, young people, parents, carers, Workers and members of the community may raise concerns or complaints about child safety.

Make AI Movies will:

  • make  complaints processes accessible;

  • respond promptly;
  • protect confidentiality where appropriate;
  • prohibit retaliation;
  • take reasonable steps to protect children during and after a complaint.

16. RECORDKEEPING

Child safety concerns, incidents and actions will be documented appropriately.

Records must:

  • be factual;
  • be accurate;
  • be timely;
  • be securely stored;
  • be accessible only to authorised people.

Workers must not alter, conceal or destroy child safety records.

  • significant new technology is introduced;
  • relevant legal or regulatory requirements change.
